1. Agreement
By applying to trade at The HandCrafted Market, you agree to these Terms & Conditions.
Your booking forms a legally binding agreement.
Trading at events carries financial risk. By booking, you accept this.
2. Applications & Booking
- All traders must apply via our website
- Applications are accepted at management discretion
- A stall is not confirmed until you receive a confirmation email
We reserve the right to refuse any application.
3. Payment
3.1 Payment options
You can:
- Pay in full
- Pay a £5 deposit per market (only available for markets more than 45 days before the event date)
For markets within 45 days of the event date, full payment is required at the time of booking.
3.2 Deposits
Deposits:
- Secure your booking
- Are non-refundable
- Are non-transferable
- Cannot be converted into credit
- Cannot be moved to another market date
Deposits are intended to confirm a trader’s commitment to attend.
The HandCrafted Market reserves the right to:
- Remove the deposit payment option
- Restrict or suspend booking access
3.3 Balance payments
- The remaining balance must be paid 30 days before the market date
If unpaid:
- Your booking will be cancelled
- Your space will be released
- Your deposit will be retained
3.4 Payment terms
Payments must be made online at the time of booking using the available payment methods.
Bookings are not held without payment.
3.5 Outstanding balances
If you owe money for a past market:
- You will not be able to book future markets
- Your account may be restricted until all outstanding balances are cleared
4. Account Credit
- Valid for 12 months from issue
- Expires automatically after 12 months
- Non-refundable
- Non-transferable
- Has no cash value
- Can only be used against future bookings
5. Cancellation, Transfers & Booking Changes (Stallholder)
5.1 Cancellation requests
All cancellation or booking change requests must be submitted through your online account or confirmed by The HandCrafted Market management following direct contact from the stallholder.
A booking is not considered cancelled until confirmation has been issued by The HandCrafted Market.
Submitting a cancellation request does not automatically entitle the stallholder to a refund, account credit, or booking transfer.
5.2 More than 30 days before the event
Where a cancellation request is made more than 30 days before the event date, the stallholder may be offered one of the following options:
- transfer to another eligible market date
- account credit for a future booking
- refund of eligible monies paid minus a £15 administration and processing fee
The option offered will depend on availability, booking history, and the circumstances of the cancellation.
Deposits remain non-refundable.
5.3 Within 30 days of the event
Where a cancellation request is made within 30 days of the event date:
- refunds are not normally issued
- account credit is not normally issued
- booking transfers are not normally available
Any exception is entirely at the discretion of The HandCrafted Market management.
5.4 Deposits
Deposits are retained to cover administration, planning, reserved pitch allocation, and loss of booking opportunity and are therefore non-refundable.
Deposits are also non-transferable and non-creditable.
5.5 Booking transfers
Where available, a booking may be transferred to one of the next 2 upcoming market dates for the same location.
Transfers are:
- subject to availability
- limited to the same stall size
- limited to the same craft category
- limited to one transfer per booking
Transferred bookings cannot be repeatedly moved between dates.
The HandCrafted Market reserves the right to refuse or withdraw a transfer option at any time.
5.6 Cancelled transferred bookings
If a transferred booking is later cancelled:
- no refund will normally be issued
- no account credit will normally be issued
- no further transfer will normally be offered
Any exception is entirely at the discretion of The HandCrafted Market management.
5.7 Account credit
Where account credit is issued:
- it will be applied to the trader account on file
- it is valid for 12 months from the date issued
- it cannot be exchanged for cash
- it cannot be transferred to another trader
Unused account credit will expire automatically after 12 months.
5.8 Failure to attend
Failure to attend a booked market for any reason will be treated as a late cancellation.
No refund, account credit, or transfer will normally be issued.
5.9 Pitch sharing and transfers
Pitches may not be:
- shared
- re-let
- transferred
- sublet
- resold
without prior written permission from The HandCrafted Market.
Unauthorised pitch sharing or transfer may result in removal from the event and future booking restrictions.
5.10 Personal circumstances and external factors
Illness, travel disruption, weather conditions, lack of stock, poor trading conditions, or personal circumstances do not automatically entitle a stallholder to a refund, account credit, or transfer.
This does not affect your statutory rights where applicable.
5.11 Repeated cancellations
Repeated cancellations, late cancellations, or repeated failure to attend may result in restrictions being applied to the trader account, including:
- removal of deposit payment options
- booking restrictions
- refusal of future bookings
5.12 Released pitches
Where a cancellation or transfer request is approved, The HandCrafted Market reserves the right to immediately release the pitch for resale or offer it to traders on the waiting list.
Approval of a cancellation or transfer request does not guarantee that the pitch will be re-filled.
5.13 Market capacity and reserved pitch allocation
Bookings reserve market capacity and reduce availability for other applicants from the time the booking is confirmed.
Cancellation charges, retained deposits, administration fees, and transfer restrictions reflect the operational costs and potential loss of resale opportunity caused by cancellations.
6. Event Cancellation (Management)
If The HandCrafted Market cancels an event, you may choose:
- Refund: minus a 35% administration fee
- Credit: 100% of the stall fee credited to your account (valid 12 months)
No additional compensation will be offered.
7. Trading Hours
- You must trade for the full event duration
- Do not pack down early without permission
Failure to comply may result in:
- Cancellation of future bookings
- Account deactivation
8. Pitch Allocation & Setup
- Management controls all pitch allocation
- Pitch locations are not guaranteed
- You must remain within your allocated space
- Do not move pitches without permission
- Sharing or subletting is not permitted
9. Gazebos (Stallholder-Owned)
- Must be commercial-grade
- Must be weighted on all legs
- Must meet any event-specific safety requirements
Unsafe gazebos will not be permitted and no refund will be given.
10. Gazebos (Hired from The HandCrafted Market)
- Nothing may be attached to the structure
- Damage must be reported immediately
- You are responsible for any damage caused
11. Stall Presentation
- Stalls must be clean and professional
- Table coverings must be used
- All displays must be safe and secure
Poor presentation may affect future bookings.
12. Products & Eligibility
- You must sell goods you have created or designed
- All products must be approved
The following are not permitted:
- Counterfeit goods
- Illegal items
- Weapons
- Fur products
Management may remove any unapproved items.
13. Product Compliance
You must comply with all UK regulations, including:
- CLP labelling (candles, wax melts, etc.)
- CE / UKCA marking (where required)
- Full ingredient labelling (cosmetics)
Proof must be provided if requested.
14. Food Traders
You must:
- Hold valid food hygiene certification
- Be registered with your local authority
- Provide allergen information
- Follow all food safety laws
You are fully responsible for your products.
15. Alcohol Sales
- Must be approved in advance
- You must obtain your own TEN licence
- Provide a copy at least 48 hours before the event
- Follow Challenge 25
- All alcohol is for off-site consumption only
16. Children’s Products
All products must meet current UK safety standards and labelling requirements.
17. Exclusivity
We aim to reduce duplication but do not guarantee exclusivity.
18. Smoking
Smoking is not permitted:
- Indoors
- On stalls
- In the immediate vicinity of the market
19. Setup, Pack Down & Waste
- Follow all setup and breakdown instructions
- Use designated loading times and areas
- Remove all waste
- Leave your pitch clean
20. Weather & Disruptions
Events operate in all weather unless deemed unsafe.
No refunds will be given for weather-related disruption.
21. Conduct & Behaviour
You must:
- Follow all instructions from management
- Treat others with respect
Zero tolerance for:
- Abuse
- Aggression
- Discrimination
The HandCrafted Market reserves the right to remove or ban traders without refund where these standards are not met.
22. Disputes
The HandCrafted Market may resolve any dispute at its discretion.
All decisions made by The HandCrafted Market are final.
23. Stallholder Responsibilities
By booking, you confirm:
- Your information is accurate
- You own your goods
- You have all required licences
- You will not mislead customers
24. Documentation
You must provide all requested documents, including:
- Insurance
- Certificates
- Compliance records
25. Insurance
- Minimum £1 million Public Liability Insurance required
- Must be available at all times
26. Liability
The HandCrafted Market is not responsible for:
- Loss of income or sales
- Theft, loss, or damage to stock or equipment
- Injury or loss suffered at the event
We do not guarantee:
- Footfall
- Sales
- Event performance
To the fullest extent permitted by law, The HandCrafted Market accepts no liability for any indirect or consequential loss.
27. Claims
You agree not to hold The HandCrafted Market liable for:
- Property damage
- Theft
- Removal from events
- Customer disputes
28. Health & Safety
You must:
- Report incidents
- Follow safety instructions
- Avoid hazards
Unsafe behaviour may result in removal.
29. Traffic & Vehicles
- Follow all traffic instructions
- Do not move vehicles during trading hours
- Failure to comply may result in removal
No refunds will be given for non-compliance.
30. Safety (Trip Hazards)
- Keep your area clear
- Remove hazards
- Ensure safe displays
31. Inactive Accounts
Accounts inactive for 6 months:
- May be locked
- May be removed from communications
Reactivation is at management discretion.
32. Legal & General
These Terms & Conditions:
- Override any prior communication, agreement, or representation
- Apply to all bookings and traders
These Terms & Conditions are governed by the laws of England and Wales. If any part of these Terms & Conditions is found to be invalid, the remaining sections will continue to apply.
